Customer Portal- Workflow Management

The portal users will get the entity records and access rights (Edit, Detail, and Delete) as configured in the workflow for the specific entity by setting up the condition(s).

If you have set up the workflow to filter and sort the entity records, the portal users will get the entity records as per the condition that is set from the admin side.

 

Before Condition (workflow) applied:

 

The portal users can see the whole records of the invoices entity. [1]

 

After Condition (workflow) applied:

 

Now, as per the condition in the workflow for the Invoices entity, the portal users will see only those entity records that are set in the condition.

 

Here, as per the condition, the portal users will see only those entity records whose “Status Reason” is New. [2] If you have set multiple conditions in the workflow, the portal users will see the entity’s records accordingly. [3]

 

You can also get the entity records in the data card view and in the dashboard details (Count & Recent Activity) as per the condition. [4]

 

 

> User Access Rights

 

The portal users will get the accessibility of the Edit, Detail, and Delete rights as the conditions are set from the admin side.

 

From the admin side, the condition is set in the workflow that the entity records having the status of the “New” & “In Progress”, will only have Detail & Delete access rights. [5]

 

While the entity records other than “New’ and “In Progress” status will have all the rights (Edit, Detail, and Delete). [6]
